POSITION OVERVIEW
The Scholarship & Stewardship Officer is a key member of the Gonzaga Prep Advancement Team responsible for leading the full lifecycle of the school's scholarship program—from application and awarding through meaningful, ongoing stewardship of scholarship benefactors.
This role serves as the primary relationship manager for scholarship benefactors, ensuring donor intent is honored, students understand the transformational impact of their awards, and benefactors remain deeply connected to the mission of Gonzaga Prep. A portion of the role also includes portfolio management and fundraising activities through renewal, upgrade, and solicitation efforts in partnership with Advancement leadership
Job Status: This is a full-time (1.0 FTE), Non-exempt, 12-month position.

RESPONSIBILITIES AND DUTIES
Scholarship & Student Experience
-Lead the annual scholarship process from application through award, renewal, and recipient follow-up while ensuring a seamless experience for students and families.
-Coordinate with Admissions, Finance, and Tuition Management to ensure scholarship timelines, awards, disbursements, and reporting are accurate and timely.
-Maintain scholarship criteria, donor intent, funding restrictions, and award documentation to ensure equitable administration and long-term compliance.
-Help scholarship recipients understand the history, purpose, and expectations of their awards through intentional communication and engagement.
-Continuously evaluate scholarship processes and recipient engagement to improve efficiency and student experience.
Donor Stewardship & Relationship Management
-Serve as the primary relationship manager for scholarship benefactors, cultivating authentic, mission-centered partnerships.
-Develop and execute an annual stewardship calendar that ensures every scholarship benefactor receives timely, meaningful, and personalized engagement.
-Prepare compelling impact reports, stewardship communications, and recognition opportunities that demonstrate the transformational impact of scholarship giving.
-Coordinate meaningful connections between benefactors and scholarship recipients through letters, videos, events, and personal interactions.
-Manage an assigned portfolio of scholarship benefactors, supporting renewals, upgrades, and direct scholarship solicitations in partnership with Advancement leadership.
-Identify opportunities for increased engagement, campaign participation, planned giving conversations, and long-term philanthropic investment.
Program Management & Operational Excellence
-Maintain accurate and timely scholarship and donor records within Raiser's Edge to support coordinated relationship management and informed decision-making.
-Document new scholarship agreements, donor intent, funding expectations, and recognition plans while ensuring smooth integration into institutional processes.
-Analyze scholarship utilization, stewardship activity, donor participation, and program trends to recommend continuous improvements.
-Develop reports and operational tools that strengthen stewardship, accountability, and organizational effectiveness.
Strategic Collaboration & Mission Advancement
-Partner with Advancement, Admissions, Finance, Marketing & Communications, and school leadership to deliver a cohesive scholarship and benefactor experience.
-Help translate benefactor goals into scholarship criteria that align with Gonzaga Prep's mission and student needs.
-Contribute to a culture of gratitude and philanthropy through strategic stewardship initiatives, storytelling, and donor engagement.
-Model Gonzaga Prep's Catholic, Jesuit mission and Ignatian values in all interactions.

-Bachelor's degree required; nonprofit development, communications, education, or related field preferred.
-Three to five years of experience in advancement, stewardship, donor relations, admissions, or a related field.
-Strong relationship-building, communication, and project management skills.
-Experience with Raiser's Edge or similar CRM preferred.
-Ability to manage confidential information with integrity and discretion.
-Comfort with donor cultivation and solicitation, or demonstrated ability to grow into frontline fundraising responsibilities.
-Commitment to Gonzaga Prep's Catholic, Jesuit mission.

Salary
Annual Salary Range: $68,305 - $86,428
