POSITION SUMMARY:
The Student Programming Administrative Assistant provides clerical and administrative support to the school’s student programming departments, including Campus Ministry, Service & Justice, and Equity & Inclusion. Working out of the Main School Office, this role supports the planning and implementation of student programs, retreats, events, and initiatives through accurate and timely execution of administrative processes. As a primary point of contact for visitors and phone communications, they deliver professional and welcoming customer service to both internal and external stakeholders. The position operates within a collaborative, team-oriented environment and provides professional support to students, parents, faculty, and staff. This position reports to the School Office Manager.

Job Classification: Full Time, Non-exempt, Monday through Friday, 10 month with 195 annual working days Working Hours: 7:30 am - 4:00 pm, with a 30 minute lunch break

RESPONSIBILITIES AND DUTIES:
Administrative Accuracy & Effectiveness
Complete administrative tasks with a high level of accuracy, attention to detail, and timeliness
Prepare, format, and organize program materials, documents, and communications
Process and track required documentation (e.g., forms, agreements, health information)
Follow established procedures and ensure consistency across recurring programs and events

Time Management & Task Prioritization
Effectively prioritize and manage multiple tasks and competing deadlines in a dynamic environment
Adjust priorities in response to changing needs, interruptions, and time-sensitive requests
Maintain progress across ongoing responsibilities while completing immediate tasks
Return to in-progress work with focus and accuracy after interruptions

Task Coordination & Record Keeping
Maintain organized systems for tracking participation, forms, payments, and program requirements
Monitor task completion and follow up on outstanding items (e.g., forms, submissions, confirmations)
Organize and maintain digital and/or physical filing systems for program records
Support scheduling processes and maintain accurate participant lists and program data
Ensure continuity of attendance operations during staff absences or breaks by following established procedures

Communication & Service
Provide clear, timely, and professional communication to students, families, community partners, and staff
Support the distribution of program information through newsletters, email, and digital platforms
Update websites and communication channels with current program details
Serve as a direct point of contact for visitors, ensuring adherence to school security and check-in protocols
Answer and manage multi-line phone and communication systems, directing inquiries appropriately and handling sensitive information with discretion

Logistical & Operational Support
Fulfill administrative tasks related to program logistics, including transportation requests, supply ordering, donation receiving, and material preparation
Prepare and organize materials and resources needed for events, retreats, and student programs
Assist with setup, organization, and follow-up for program activities
Support the preparation and organization of materials for large-scale or multi-day programs
Coordinate internal logistics such as mail distribution and package delivery
Provide basic operational support for office equipment, including copier troubleshooting and supply monitoring

Collaboration & Team Support
Provide administrative support to department leaders and program staff
Attend department meetings as needed for programming information and support
Assist student leaders and program teams by preparing materials and organizing resources
Carry out assigned tasks that support coordination across departments
Contribute to a collaborative and mission-driven team environment

Requirements
Minimum Qualifications
High school diploma or equivalent required; associate’s or bachelor’s degree preferred
1–3 years of administrative or office support experience
Strong organizational skills and attention to detail
Proficiency in standard office software (e.g., Google Workspace, Microsoft Office)
Ability to manage multiple tasks and follow established processes
Clear and professional written and verbal communication skills
Ability to work effectively in a fast-paced, front-office environment with frequent interruptions and maintain focus across tasks
