POSITION SUMMARY:
The Accounting Specialist is responsible for managing the company’s accounts payable (AP), accounts receivable (AR), and payroll functions. This role ensures accurate financial processing, timely payments and collections, and compliant payroll administration. The ideal candidate is detail-oriented, organized, and able to handle multiple financial processes while maintaining confidentiality and accuracy. This position requires on-site attendance and follows a Monday through Friday schedule from 7:30 a.m. to 3:30 p.m.

KEY COMPETENCIES AND RESPONSIBILITIES:

Financial Operations Management:

Accounts Payable
Review, verify, and process vendor invoices
Match purchase orders, receipts, and invoices for accuracy
Prepare and process electronic transfers, ACH payments, and checks
Reconcile vendor statements and resolve discrepancies
Maintain organized and accurate AP records
Ensure timely payment of obligations in accordance with company policies


Accounts Receivable
Generate and distribute customer invoices
Post customer payments (checks, ACH, credit card, wire transfers)
Monitor aging reports and follow up on outstanding balances
Reconcile customer accounts and resolve billing discrepancies
Prepare AR reports

Payroll Administration
Process bi-weekly/monthly payroll accurately and on schedule
Maintain employee payroll records, including new hires, terminations, and pay changes
Calculate wages, overtime, bonuses, and deductions

Financial Integrity and Accuracy:

Reconcile vendor statements and customer accounts
Reconcile payroll tax filings and remittances
Prepare AR reports
Assist with month-end and year-end closing processes
Assist with general ledger entries as needed
Support audits by providing requested documentation

Regulatory Compliance and Risk Management:

Ensure compliance with federal, state, and local payroll regulations
Ensure timely payment of obligations in accordance with company policies
Maintain confidentiality of financial and employee information
Ensure compliance with internal controls and accounting procedures

Stakeholder Service and Issue Resolution:

Resolve vendor statement discrepancies
Resolve billing discrepancies with customers
Respond to employee payroll inquiries quickly and courteously
Follow up on outstanding balances

Organizational Effectiveness and Operational Excellence:

Maintain organized and accurate financial records
Manage multiple financial processes as needed
Meet deadlines for payments, collections, and payroll processing
Other finance office duties as assigned

Requirements
Qualifications:

Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred
18 quarter or 12 semester hours in accounting, auditing, or budgeting and one to two years of relevant professional experience.
Proficiency in accounting software (e.g., QuickBooks, Sage, NetSuite, or similar)
Strong understanding of basic accounting principles
Knowledge of payroll laws and tax regulations
Proficiency in Microsoft Excel
