Important changes to volunteer hour tracking

The change to PowerSchool this fall includes the ability to integrate other useful elements of your family’s engagement at Prep. We are making important changes to how hours are submitted, verified, and tallied. We expect this program update will make it more efficient for you to track your hours and for us to verify entries and generate quarterly family reports that celebrate those who have completed their hours.

Here’s what you can expect:

Instead of submitting hours via Google form and waiting for them to appear in the old Skyward system, submitting hours AND tracking them will be done entirely in PowerSchool. Hours you enter will immediately be reflected in your student’s dashboard where they can be verified by the advancement staff.

How to enter and view your hours:

On your laptop or desktop computer, find the Family Volunteer Hours icon near the bottom of the left-side navigation in the Powerschool parent portal for your youngest Bullpup. Click on that icon to go to the dashboard. There you will be able to see the hours you’ve served (including those entered in the old Google form) and view your family’s total for the school year.

The top portion of the page is where you submit hours from an event/activity/gift card donation etc. Fill out who served, the date, the number of hours (remember to double if they were cleanup hours), and the description. You may enter multiple dates and volunteer duties at once. Click the “submit” button to save the entries.

The bottom portion of the screen reflects your family’s total hours served for the school year.

FREQUENTLY ASKED QUESTIONS

Q. My family's hours for this year look incorrect, what do I do?
A.  We imported all hours that were submitted this school year via the Google form through Dec. 19, 2023. Any hours after that date should be entered using this new method. Please contact us at [email protected] so that we can confirm and correct any errors you encounter.

Q. I made a mistake when I made a new entry. How do I correct it?
A. Delete the record that is in error and re-enter it correctly.

Q. Some of my hours are showing up for another of my children, does that matter?
A. To ensure accuracy, we encourage you to make your entry in the portal for your youngest child, but Powerschool will still display entries you may have made under another of your children. If you do not see this reflected, please contact us.
